What AI Account's Payroll Accounting Software Covers
Payday should not mean exporting figures to a spreadsheet, retyping salaries, and reconciling the ledger at month-end. AI Account runs your monthly payroll inside the accounting platform itself, creating each payslip and the matching journal entries for you. This page explains the payroll software Singapore businesses can use for these tasks, why statutory contributions matter, and how each step works in practice.
The payroll module covers:
- Employee setup through contacts with the Employee role, plus Payroll Settings for departments and payment modes
- Country payroll templates that can be duplicated and customised where a default template is available
- Monthly payroll processing that calculates CPF for Singapore, and EPF, SOCSO, EIS and PCB for Malaysia, with amounts you can overwrite when needed
- Individual payslips, optional year-to-date table visibility, and automatic journal entries
- Included in all AI Account plans
Why Statutory Contributions Matter
Payroll is a statutory duty, not just an internal cost line. According to the CPF Board, Singapore employers pay CPF contributions to the CPF Board for Singapore Citizen and Permanent Resident employees earning more than $50 a month, and where monthly wages are not more than $500, only the employer's share is payable; Malaysian employers contribute to EPF (KWSP) and to SOCSO and EIS (PERKESO). AI Account calculates these contributions, and PCB monthly tax deductions in Malaysia, in each payroll run and keeps payroll beside the rest of your books. It does not prepare statutory submission files, so your company submits contributions and deductions to each authority itself.
How AI Account Runs Monthly Payroll
A monthly payroll run in AI Account follows six steps. This payroll software singapore workflow mirrors what you see in the platform, so you know exactly what happens when payday arrives.
1. Set Up Employees as Contacts
Employees are set up as contacts with the Employee role. They live in the same contact list as customers and suppliers, so there is no separate payroll database to maintain.
2. Configure Payroll Settings
Payroll Settings hold the defaults for departments and payment modes. Define these once, and every run inherits the structure of your business.
3. Choose a Country Payroll Template
Payroll templates follow each country's statutory requirements, such as CPF for Singapore or EPF for Malaysia. Where a default country template is available, duplicate it and customise the copy for your business.
4. Process the Monthly Run
- Choose a template and a period.
- The default payroll amounts saved per employee fill in the run.
- AI Account calculates the statutory amounts: CPF in Singapore, and EPF, SOCSO, EIS and PCB in Malaysia.
- Where a figure needs to change, overwrite the calculated amount before you submit the run.
5. Post the Entries
Set a separate journal entry date and payslip payment date so accrual timing and cash timing stay distinct. Net pay can post to Salary Payable, ready for settlement.
6. Issue Individual Payslips
Each run produces individual payslips for your employees. If you prefer a cleaner layout, there is an option to hide the year-to-date table on the payslip.

Review the Double Entries in Your Ledgers
Every payroll run ends in double entries you can inspect before you close the month. Open the Journal Report or the General Ledger to trace the debits and credits behind each payslip, alongside all your other reports and statements.
Because payroll posts into the same ledgers as sales and purchases, your trial balance includes payroll alongside everything else. That single source of truth is what separates genuine payroll accounting software from a standalone calculator.
